Introduction

Inchcape Belux is looking for a temporary administrative replacement in Machelen. For this short-term assignment, we are seeking a Temporary Administrative Officer who will play a key role in the vehicle delivery process. You will be responsible for accurate administrative follow-up and coordination, ensuring that customers receive their vehicles in an efficient and professional manner. Working closely with colleagues, you will manage the entire administrative flow.

Key Responsibilities

  • Creating invoices after payment is received
  • Requesting files from colleagues
  • Sending vehicle documents to customers
  • Arranging transport or pickup of purchased vehicles
  • Entering documents and invoices into Smartsheet
  • Responding to emails regarding invoicing, delivery, and payment
  • Creating vehicles in the system
  • Following up on payments and bank statements

What We’re Looking For:

  • Strong administrative skills (MS Office suite)
  • Detail-oriented and comfortable working with numbers
  • Able to work independently and take initiative
  • Understanding of financial processes
  • Fluent in Dutch and French; English is a strong asset (for German clients)
  • Available from early November for 4 months (full-time or 4/5), with possibility of extension
